The administrative coordinator supports the work of the Student Affairs Office and Suffolk CARES.

Responsibilities & Duties:

Administrative Duties (included but not limited to):

Assist with walk-in and telephone correspondence for students, faculty, staff, parents and visitors; Assess constituent needs and make initial resolution of problems/issues/queries; Direct/escalate all necessary concerns to the appropriate department/staff member; Assist Student Affairs/Suffolk CARES staff with student outreach – primarily incoming care report cases and during high trafficked times of the semester (for ex: enrollment confirmation; early alert period, etc.); Schedule appointments and maintain the calendar for Student Affairs Staff/Suffolk CARES team; Provide administrative support for Student Affairs Committees (scheduling and room booking; preparation of proposals and supporting materials; development of agendas; facilitate virtual meetings through Zoom); Process forms and mailings and track data for late course withdrawals, leaves of absence and withdrawals for students in the College of Arts and Sciences and Sawyer Business School; Create assessments, Constant Contacts and reports to illustrate late course withdrawals, leaves of absence, and withdrawals data for each semester, academic year, etc.; Coordinate scanning of Student Affairs documents and all correspondence with students in ImageNow and Maxient databases; Provide word processing of documents, file management and data collection/storage; Manage incoming and outgoing mail and large-scale mailing/communication projects for the Student Affairs Office .

Supervision :

Select, train and supervise department work-study students.

Special Projects

Manage the Student Affairs Office social media accounts; Assist with Commencement logistics and organization; May serve on various Student Affairs Committees; Student Handbook.

Performs other related duties as assigned.

REQUIREMENTS OF POSITION:

  • Bachelor’s degree with 3+ years of relevant experience

  • Experience in a fast-paced student service-focused University or College setting

  • Demonstrated experience and proficiency in the use of technology to include PC use, desktop publishing, Microsoft Office Suite, Constant Contact, social media, student records system, internet use and Zoom.

  • Attention to detail, as demonstrated by copyediting and proofreading capabilities

  • Excellent communication (both verbal and written), time management, and interpersonal skills

  • Strong organizational skills and an ability to handle multiple responsibilities simultaneously

  • Experience in problem-solving, decision making, referral techniques, and confidentiality.

  • Experience and proficiency in the use of technology to include PC use, desktop publishing, Microsoft Office Suite, social media, student records system and internet use.

  • Ability to work effectively with a diverse student population and with parents, faculty and other administrators.

  • Ability to communicate, engage, and develop rapport with individuals of diverse cultural, social, and religious backgrounds, and varied age, gender, sexual orientation, gender expression, and military status.

  • Sensitivity to the needs of a diverse student body; demonstrated experience working with diverse student, faculty, staff and community populations and proven ability to create an inclusive and welcoming campus environment.

  • Standard hours of this position are 8:45 am to 4:45 pm, M-F, however ability to keep flexible hours to support program objectives, including some evening and weekends, is necessary.
