Reporting directly to the VP Total Rewards and HR Operations, the Senior Administrative Assistant will also support the VP Talent Acquisition, Diversity and Inclusion (TADI). The Assistant will join a highly regarded team and will interact with all levels of the organization, including board members and vendors. The candidate must be able to use judgment to handle complex and highly confidential situations and effectively prioritize a wide variety of tasks, balancing multiple longer-term projects and goals with the immediate needs of the office.


  • Effectively manage the calendars of two VPs and handle complex scheduling requests, including arranging internal and external meetings, speaking engagements

  • Prepare expense reports, maintain and organize internal databases

  • Represent the office in a professional manner, exercising judgment and discretion with regard to confidential issues and materials when responding to mail, telephone, electronic, and in-person inquiries, including addressing issues independently or making referrals, as appropriate

  • Create, organize and maintain files and databases of highly confidential data

  • Prepare presentations including editing, proofreading, and distributing materials of highly confidential information on behalf of assigned VP or members of their teams

  • Work closely with the Total Rewards and TADI teams to help plan and execute events, including identifying and coordinating catering, creating agendas and itineraries, identifying and booking appropriate space when necessary, etc.


  • Bachelor’s degree preferred

  • Three years of professional experience, with at least two years of experience in an administrative support role; direct executive support experience is a plus

  • Ability to exercise independent judgment and discretion with minimal supervision to multi-task and prioritize work by considering its risk, importance, urgency, and potential implications

  • Excellent written, interpersonal and organizational skills required

  • Highly organized with strong attention to detail and accuracy, including careful proofreading/copy editing of materials

  • Ability to demonstrate discretion in handling confidential information and dealing with high-level executives

  • Commitment to "getting things right the first time" and follow-through on tasks and responsibilities

  • Advanced skill proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
