SUMMARY

Under the direct supervision of the Director, Manufacturing and site leadership, the Senior Site Coordinator will provide administrative support to the Operations department and Boston manufacturing facility. This individual will coordinate calendars, scheduling, and meetings. In addition, this individual will manage reception and employee communications.

ESSENTIAL DUTIES AND RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Coordinate with building Facilities team to ensure safety and security for employees and visitors.

  • Coordinate site meetings and events such as ordering food and setting up location and activities for events and for meetings as requested.

  • Own and provide overall management of selected site-based events; examples include corporate on-site meetings, family-day events, on-site training events, and other employee engagement events.

  • Provide support to the Site teams; examples include coordination of travel arrangements and completion of expense reports.

  • Provide general administrative support to the site teams.

  • Manage the office supply cabinet to ensure adequate office supply levels for onsite employees including taking inventory, order as needed, and restocking.

  • Submit and manage purchase orders and purchase card accounts.

  • Provide copy, fax, and editing to documents when needed.

  • Prepare and send for shipment of outgoing packages.

  • Compose and execute correspondence, reports, and proposals.

  • Ensure all bulletins, posters, notices are up to date and available to employees throughout the Boston site.

  • Maintain discretion and confidentiality on sensitive topics as required.

  • Participate in and take the lead when needed on the Boston Onboarding process

  • Support audits and other regulatory/customer inspections.

  • Create and lead site engagement activities, e.g., guess jars, ice cream days, U-Line giveaways etc.

  • Support General Manager in organizing town halls and other employee communications.

  • Support and facilitate the broadcast of Corporate Town Hall and other communications.

  • Help keep the facility neat and in order, including, but not limited, to conference rooms and common working areas.

  • Perform other tasks and assignments as required.

DESIRED MINIMUM QUALIFICATIONS

  • Highschooldiploma or GSD with minimum 4 years’ administrative experience, or collegedegree with minimumof 2yearsofadministrativeexperience,executivelevelpreferred.

  • MustbeproficientinMicrosoftOfficeSuiteofapplicationsandhaveverygoodwrittenandverbal communication skills.

  • Mustbeabletomulti-taskandbeaself-starter.

  • Mustbeabletosupportmultiplestakeholders.

  • Superior organization and interpersonal skills.

  • Ability to work in a fast-paced environment.
