GAF Senior Sales Coordinator in Boston, Massachusetts

Job Summary

The Senior Commercial Coordinator will support the administrative and operational tasks needed for the overall success of the Commercial Business Unit (revenue size of approximately $1.8B). This position will report to the SVP of Sales Operations and the SVP of Commercial Sales. This individual will directly support additional leaders and events in the Commercial Business Unit.

Essential Duties

  • Execute day-to-day executive administrative tasks and miscellaneous admin duties including,

  • Screen emails; correspondences and phone calls and prioritize essential information for review.

  • Manage departmental budget and expenses including paying bills, coordinating payments with vendors, following up with AP on vendor payments, and reconciling expenses.

  • Work with vendors, IT, and Facility Services to ensure furniture, office supplies, office equipment, and food supplies are maintained.

  • Work with facility services to ensure the physical structure is well maintained including telecom equipment, computers, conference rooms, training rooms, etc.

  • Lead the coordination of office moves and relocations within the departments.

  • Maintain Commercial Leadership Team (CLT) calendars and schedule various CLT meetings.

  • Generate correspondence for signature; draft letters as requested.

  • Coordinate travel arrangements for multiple executives.

  • Process check requests and invoices through the Aspen System.

  • Print and file monthly reports.

  • Maintain PCard for the Commercial BU.

  • Commercial Corporate Events Lead, plan and execute meetings and events that are $50k or less for the BU (Operations, Sales, Customer Meetings, CLT meetings, Townhalls).

  • Run logistics for in-person events from start to finish, including sourcing venues and vendors, sending invitations, setup, day-of logistics, the wrap-up of events, booking travel and accommodations for senior leaders, swag and giveaway orders, etc.

  • Own and track event budgets, ROI measurements, and engagement metrics.

  • 10-15 events per year.

  • Partner with the Events Department on larger events, coordinate logistics, design and execute meeting agendas, travel pre-meeting for site visits, and travel during meeting events to be onsite to execute on requests (Commercial Roadshows, Sales Conference, Chairman's Circle, etc).

  • Lead in creating ad-hoc requested Commercial swag and promotional items, research, design, cost, and vendor management of producing items.

  • Support the NJ Customer Service team with culture events (customer service week), lunches, holiday events, and other meetings.

  • Support all internal and external visitors for Commercial BU, meeting planning, visitor badge set up, meals and lodging recommendations, and coordination if needed.

  • Coordinate and Delegate responsibilities to other Commercial Admins.

Qualifications Required

  • H.S. Diploma or General Education Degree (GED) Required

  • Associate’s Degree (AA) Preferred

  • 7 yrs executive level admin and/or 3 years of progressive Coordinator experience Required

  • Hands-on, entrepreneurial, pragmatic, and self-driven.

  • Close attention to detail.

  • Innovative and creative, with excellent communication, presentation, and interpersonal skills.

  • Quick learner with an overall passion for continuous improvement and a desire to grow in a fast-paced environment.

  • Independent worker who can work with limited guidance.

  • Team player – ready to work with internal stakeholders at all levels of seniority.

  • Excellent writing and communication skills.

  • Proficiency in Google Business Suite is required.

  • Knowledge of PeopleSoft (OSM, Aspen, Benefits, E Time, HR Smart, T&E) desirable.

Consideration will be given based on geography, candidate experience, and qualifications.

Annual Salary Range: 52,510-72,201
