Job Summary

We are looking for an energetic and organized individual seeking growth opportunities in research grant management to support the project coordination needs of the Division of Health Policy and Insurance Research (HPI) located within the Harvard Medical School Department of Population Medicine at the Harvard Pilgrim Health Care Institute (HPHCI). HPI includes investigators and staff with diverse expertise who are passionate about studying how health policies affect populations. HPI places strong emphasis on building a collaborative, collegial, communicative, respectful, and enjoyable atmosphere where we strive to generate the most rigorous research about the most important health policies. The Project Coordinator will perform a variety of activities to support research projects on health policy and insurance, the submission of grant proposals, management of the Institutional Review Board (IRB), other various tasks as needed. This position requires excellent communication skills for close collaboration with investigators, project managers, and administrative staff, both within HPHCI and with external institutions and collaborators.

Key Responsibilities/Duties – what you will be doing

  • Perform day-to-day tasks in support of research studies; support preparation of administrative components of proposal/ grant submissions, some management of IRB tasks, and various administrative/project management tasks as needed

  • Coordinate and maintain project timelines and task lists; assist with deliverable preparation.

  • Organize teleconferences and in-person meetings. Participate in project meeting preparation and implementation, including creating slide decks, providing technical support, and preparing meeting minutes and action items.

  • Coordinate data collection for research studies, including creating and maintaining project databases (Access, Microsoft Project or similar). Provide support to internal and external collaborators.

  • Assist investigators with manuscript preparation and submission.

  • Perform out-of-the-box thinking, collaborate with others, and make a difference every day!

  • Other duties and projects as assigned.

Qualifications – what you need to perform the job

  • Bachelor’s degree or equivalent experience required. Knowledge or understanding of healthcare organizations and their general operation is preferred.

  • Strong interpersonal and communications skills including written and verbal skills. Strong problem solving and process management and organizational skills; ability to prioritize work and operate under tight deadlines. Highly motivated with demonstrated ability to work independently and collaborate with staff at all levels of the organization

  • Strong presentation and facilitation skills (even when not subject matter expert)

  • Proficient in MS office applications, email, internet, basic web design and other systems

  • Resilient, collaborative, flexible, innovative, detail-oriented
