Confers with staff and others to provide patients with technical advice, problem solving assistance; refers inquiries to others as needed. Supports physician team with coordination of patient appointments, authorizations and other logistics, as needed.

The Program Coordinator II shall be responsible for:

  • Coordinating activities and daily operations of an Orthopedic surgical team. Conferring with surgical team physicians and staff to provide technical advice, problem-solving assistance, and answering questions about the program and its goals. Referring inquiries to others as needed.

  • Scheduling appointments and meetings and maintaining personal calendars for surgeon(s). Managing away schedules, assisting with rescheduling clinics, as needed.

  • Reserving meeting locations, ordering supplies and equipment, and preparing meeting agenda and other materials. Preparing travel arrangements as necessary. Facilitating travel and expense reimbursement for physicians.

  • Collaborating with the Department’s Patient Experience Representative and Call Center teams, providing clinic appointment, peer-to-peer, and telemedicine scheduling services for surgical team’s patients. Directly troubleshooting patient/family inquiries (school notes, letters of medical necessity, FMLA, Physical Therapy plans of care, etc.) and/or referring patient/family to appropriate resources for further assistance and support.

  • Liaising with other BCH Departments (e.g., Patient Financial Services, Radiology) and outside clinics/hospitals to resolve delays and errors and ensure appropriate authorizations are obtained, and outside images and medical records are collected.

  • May assist in planning workshops, meetings, or conferences; coordinating logistics, scheduling, and faculty/participant communications.

  • May review applications, processes or other program documents in conjunction with supervisor/surgeons to determine acceptance or make decisions pertaining to program changes and improvements.

  • May assist in the coordination of recruitment efforts.

  • Drafting written communication and promotional literature in conjunction with team physicians and BCH and Department Marketing personnel.

  • Other administrative and programmatic duties as assigned.

To qualify, you must have:

  • Associate’s degree and two years of relevant experience.

  • Good verbal and written communication skills

  • Ability to command respect from others

  • Conflict resolution skills to facilitate positive interactions with the organization

  • Organizational skills to effectively organize workload, manage time and resources and schedule and prioritize projects.

  • Independent Thinking skills to provide persistence and determination in the execution of the position requirements.
