Newborn Medicine - Program Coordinator II

Under general supervision, coordinates all activities and functions of the Director in his or her management of the daily research administrative operations of the Fetal-Neonatal Neuroimaging and Developmental Science Center to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications. Performs and oversees various administrative functions that require in-depth knowledge of departmental programs and services, including the composition of basic correspondence, the maintenance of office record keeping systems, and the planning and organizing of Center programs and conferences.

Principal Duties and Responsibilities

  1. Coordinates activities and daily operations of a research program. Assists in the development of new or revision of program goals and objectives.

  2. Schedules appointments and meetings and maintains supervisor's personal calendar. Reserves meeting locations, orders needed supplies and services and prepares agenda and other materials. Prepares travel arrangements, including airline reservations and hotel accommodations, as necessary.

  3. Supports Center Director and Center personnel with the pre-award submission process, receives and edits grant documents in accordance with awarding institutions requirements, and provides finalized versions to Grant Officers at Office of Sponsored programs for final review. Performs some basic post-award duties, including supply ordering, salary management, tracking spending, and maintenance of Division of Newborn Medicine grant workbooks for all grants awarded to Center through Newborn Medicine. Maintains Center financial workbooks held by Division of Newborn Medicine, receives run reports, and performs monthly reconciliations. Aids Center Director in salary management for Center employees, working with Division Managers in other departments. Maintains FNNDSC workbook, keeping all employee information current. Manages and maintains IRB protocols for Center Director and Center personnel, works with the Office of Clinical Investigation to ensure compliance. Confers with and advises staff and others to provide technical advice, problem solving assistance, answers to questions and program goals; refers to appropriate department person when unable to respond. Monitors and ensures work is performed in conformance with established hospital and departmental policies and procedures. Recommends, implements and maintains internal office systems and procedures. Recommends and assists in development and implementation of departmental administrative policies and procedures.

  4. Prepares periodic reports and records on program activities, progress, status or other special reports for management or outside agencies.

  5. Assists with written communication and promotional literature.

  6. Monitors and maintains department supply inventory and computer equipment. Authorizes purchase of standard departmental supplies and equipment repair services within established budget allocations. Evaluates and recommends purchase of equipment and non routine supplies. Serves as liaison to support service departments to request and coordinate provision of needed services.
