The Arbab (http://www.arbablab.com) and Farrell (http://farrellneuro.com) labs are seeking an organized individual to manage administrative tasks in dynamic research settings with minimal supervision. This role supports Principal Investigators (PI) and involves complex administrative tasks requiring independent decision-making and priority setting. Responsibilities include implementing operational policies, problem-solving, leading workflow, troubleshooting, assisting with training, providing PI support, and interacting with staff, faculty, and external agencies. Cross coverage and other duties as assigned are also part of the role.
The Program Coordinator II will:
Facilitate the smooth operation of the lab on a daily basis through efficient office management and supporting all administrative needs. Ensure adherence to all Division policies and procedures. Take initiative to follow up on matters independently and anticipate needs. Bring to the PI’s attention all matters that require his/her review and/or action. Keep the PI informed about any staff issues in a timely manner. Regularly handle confidential information.
Assist Principal Investigators in the preparation and submission of grant proposals and necessary protocols by working closely with the PIs and Grants Administrator to assemble and complete NIH forms for submission.
Support required outfitting of Lab by assisting researchers as needed with placing orders for equipment, laboratory, and office supplies. Interface with vendors, manage orders, and liaise with Accounts Payable and Purchasing Departments as needed. Process all reimbursements and invoices in a timely manner. Work with manufacturers to obtain quotes to compare pricing and find the optimal supplier. Track the lifecycle of an order to ensure stalled orders are caught and remedied as soon as possible. Manage labs spreadsheet-based ordering tracker and act as the labs’ point of contact for all lab members order requests.
Serve as a key point of support for lab members on any administrative issues. Assist staff with any organizational/policy/procedure questions. Assists with training and orienting staff as needed. Manage timecards for lab members and time off and communicate issues to employees’ direct supervisors.
Correspond with and screen applicants and make hiring recommendations to PI. Work closely with HR and Division Support to handle the on-boarding of new hires. Field inbound application requests, managing and sending references on behalf of the PI, organizing interviews and visits to the lab, including team meals and visitor’s travel. Coordinating and creating itineraries for applicants interviews and meeting schedule.
Work with ILab to manage room bookings and all meeting coordination. Manage a lab calendar to keep all members up to date on the lab meeting schedule.
Attend meetings as a lab representative, related to lab safety, animals use etc. alongside a research technician. Relay key information at weekly lab meetings.
To qualify:
Requires an associate's degree and 2 years of relevant experience.
Learn various software tools like UKG, Peoplesoft, Squarespace, Egencia, and Zoom.
Clearly and concisely communicate information, clarify situations, and write detailed reports.
Communicate effectively, both orally and in writing, manage work distribution, enforce policies, and counsel staff.
Build and enhance relationships across teams and departments to achieve program goals.
Demonstrate independent thinking, strong organization, and proactive problem-solving for incomplete tasks.
