Robert Half Part-Time Office Assistant in Boston, Massachusetts

Description We are offering a short term contract employment opportunity for an Office Manager in Boston, Massachusetts. This role is critical to ensuring smooth operations within our office environment. The Office Manager will oversee various administrative tasks, manage office supply inventory, process invoices, and provide support to executives. This role also involves coordinating with building management and external vendors for maintenance, as well as managing any HR-related activities.

Responsibilities:

• Oversee and report office operations to senior management, proposing improvements when necessary

• Manage inventory of office supplies and order new items as needed

• Maintain all office-related documentation accurately

• Ensure prompt payment of vendor invoices

• Provide comprehensive administrative assistance to executives

• Efficiently schedule appointments and meetings, managing any conflicts that may arise

• Assist in onboarding processes, manage employee records, and support HR-related activities

• Coordinate travel arrangements for employees

• Organize and manage office catering and happy hour events on a weekly basis

• Supervise the office assistant, providing leadership, guidance, and training

• Collaborate with vendors and service providers to ensure smooth operation of office services

• Perform additional duties as necessary to support office operations. Requirements • Demonstrated experience in an office management role

• Proficient in Microsoft Excel

• Experience with bulk mailings

• Excellent communication and interpersonal skills

• Strong organizational and multitasking abilities

• Ability to maintain confidentiality and handle sensitive information with discretion

• Proven problem-solving skills

• Ability to work independently and as part of a team

• High attention to detail

• Strong time management skills

• Demonstrated leadership abilities

• Experience in staff management and delegation

• Ability to handle office financial and budgeting duties

• Experience with office management software and procedures
