Boston Public Schools seeks a Paralegal to provide support to the legal department including the Legal Advisor and ?ve attorneys. The Paralegal assists attorneys with research, case organization, responds to records requests, maintains and organizes electronic case databases and hard copy ?ling systems, works on special projects, PRS complaint responses, factual and legal research, drafting correspondence and cover motions, electronic court ?lings, deposition notices, drafting and responding to subpoenas, discovery and case management, and assists with telephones and walk-ins. The Paralegal also coordinates communications, oversees scheduling coordination for meetings, conferences, depositions, and related activities, organizes event details, prepares reports, coordinates travel arrangements, contracts, and keeps current on related ?nancials for the department. Additionally, the Paralegal answers correspondence and assembles highly con?dential and sensitive information. Deals with a diverse group of internal and external callers, as well as contacts at all levels of the organization. Supports Legal Advisor’s O?ce by maintaining logs of cases handled by outside counsel. Assists the Legal Advisor’s O?ce by supporting and responding to requests from school leaders for legal templates and routine requests for information, assigns cases and contracts to attorneys. Manages the Attorney-of-the-Day Calendar. Considerable independent judgment is required to plan, prioritize and organize diversi?ed workload and recommend changes in o?ce practices or procedures. REPORTS TO: Legal Advisor RESPONSIBILITIES: Manages all administrative and operational functions of the O?ce of Legal Advisor. Schedules and organizes complex activities such as meetings, conferences, depositions, and department activities for all members of the Department. Maintains Legal Advisor’s calendar by planning and scheduling meetings, conferences, teleconferences, and travel. Establishes, develops, maintains and updates con?dential and legal ?ling system, including both electronic and hard copy ?ling systems. Manages all ?les to and from archives when needed. Coordinates and tracks all litigation in Time Matters database and Google Drive. Prepares specialized reports for the department on a regular and as-needed basis for reporting purposes. Maintains, organizes, scans, and logs all legal records and legal correspondence. Responds to subpoenas, public record requests, and student records requests, working with all necessary departments to gather responsive documents, reviewing all documents and preparing responses to requestors in accordance with relevant record laws and regulations. Assists attorneys in drafting correspondence, court motions, drafting discovery requests and responses, deposition notices, subpoenas, electronic court ?lings, maintaining case ?les, preparing 9A packages and other motions and correspondence related to court ?lings or other legal matters. Conducts legal research and factual investigations. Draft legal memoranda and assists in preparing witnesses for depositions and trial. Assists attorneys with trial preparation including organizing exhibits, witness lists, motions, and taking notes. Attend trials to coordinate witnesses, take notes, and conduct legal research as necessary. Handles con?dential and non-routine information and explains policies when necessary to BPS employees seeking assistance from the Legal Advisor’s O?ce. Acts as liaison with other BPS departments, City departments, outside agencies, and outside counsel, speci?cally acting as liaison to the City of Boston Law Department on all o?ce operational matters. Opens and processes mail for all attorneys. Sorts and distributes mail. Drafts written responses or replies by letter or email when necessary. Responds to regularly occurring requests for information, using independent judgment. Takes messages or ?elds/answers all routine and non-routine questions. Works in cooperation with other sta?. Manages all administrative functions of the O?ce of Legal Advisor. Manages and monitors o?ce budget, as well as Legal Advisor contracts. Assists the Legal Advisor in the budget process and maintenance. Process and maintain records of all invoices. Maintain communication with outside counsel regarding status of special education matters, and assist in connecting them with internal BPS staff when necessary. Facilitate legal support in special education matters where a student has an attorney present at a meeting to support BPS staff. Maintains o?ce inventory of supplies and coordinates such orders with City of Boston Law Department and external vendors. Manages internal Attorney of the Day schedule, which is used to assign and distribute work amongst the team as evenly as possible. Processes and maintains personnel records for the O?ce of Legal Advisor. Processes and maintains travel expenses for all sta?. Respond daily and timely to The Department of Children and Families (DCF) requests for information regarding time sensitive investigations into BPS students and families. Greets visitors, callers, ascertains nature of the business, and directs visitors and callers to appropriate parties. Facilitate internship interviews and maintain job postings at law schools. Report and maintain records of attendance for staff attorneys. Communicates with Problem Resolution Systems (PRS) team, and assists in preparing responses to Complaints when directed toward or involving the Office of Legal Advisor. Facilitates communication with City Hall regarding incoming claims, litigation matters, and discrimination complaints. Performs other duties as requested by the Legal Advisor and City Law Department staff. Qualifications - Required: Bachelor’s Degree or Paralegal Certi?cate or at least four (4) years working in a legal o?ce setting supporting multiple attorneys. Full comprehension of standard computer o?ce equipment and standard o?ce software such as Microsoft O?ce, Adobe, Google, etc. Strong planning and time management skills. Strong reading and writing skills. Ability to conduct factual research through interviewing witnesses, reviewing documents, and on-line research including use of legal research programs such as Westlaw or Lexis Nexus. Exemplary organizational skills; attention to detail; and knowledge of standard o?ce practices and procedures. Excellent interpersonal skills, including the ability to work with a diverse group of people. Excellent customer service techniques with a strong ability to problem solve. Ability to work independently in a con?dential environment. Ability to meet strict deadlines. Ability to multitask in a fast-paced environment. Current authorization to work in the United States - Candidates must have such authorization by their ?rst day of employment. Qualifications - Preferred: Current law student Experience in legal office management in a public agency Experience using TimeMatters or other legal practice management software Terms: Managerial, C41.
