State of Massachusetts Office Support Specialist I in Boston, Massachusetts

_About the Organization:_ The Division of Standards (DOS), an Agency within the Office of Consumer Affairs and Business Regulation (OCABR), is responsible for enforcing the accuracy requirements and other standards relating to commercial weighing and measuring devices and their use in the sale of food, fuels and other products. It regulates the sale of gasoline and sets standards for lubricating oils and antifreeze, including the inspection of all fuel dispensing equipment. It determines the standards for accuracy of clinical glass thermometers, tests and approves coin operated devices, licenses auctioneers, promoters, transient vendors, peddlers, motor fuel and oil retailers and registers auto damage repair shops. The Division also enforces the item pricing law and the unit pricing regulations, issues waivers to retail food and grocery stores and enforces the scanner accuracy requirements in all retail stores. The Division is also responsible for enforcing licensing requirements for over ten thousand licensees. The Office Support Specialist Iassistsinmaintainingelectronic and paper files and related records; receives and processes requestspertaining tothe licenses& registrationsissued by theDivision; produces files & reports responsive to requests;maintains& tracks files on outstanding fines; composes and/or prepares correspondence;answers telephone calls;edits andmaintainsthe Division websiteand performs related work asrequired. _Duties and Responsibilities:_* (these duties are a general summary and not all inclusive): * HelppublicandstaffuseDivisionwebsiteandlicensingsoftware. * Receiveandscreentelephonecalls,mail,andemails;answer and/orreferinquiries toappropriatepartiesforaction. * Composeand/orpreparecorrespondenceand/orreports forthegeneralpublicandlocalofficials. * Fileallofficedocuments;record,assign,andtrackcomplaintsfromthepublic. * MaintainDivision'slicensingrecords. * Maintain accurateand up to date mailing lists oflicensees and the certificationoflocalweights & measuresofficials. * Respondtoinquiriesandcomplaintssubmittedviaemailincluding public records requests. * Process complaintsandmaintaincomplaintsdatabase. * Processlicenseapplications. * SupporttheCommissioner,OperationsManagerandotherstaffwithprojectsasdeemednecessary. * Editandmaintainthe DivisionofStandardswebsite. * MaintainStandardOperatingProceduresforDivisionprocesses. _Preferred Knowledge, Skills, and Abilities:_ * Strongorganizationalskills. * Excellentcommunicationandcustomerserviceskills. * Abilitytomulti-task. * Strongclericalabilities. * Absoluteattentiontodetail. * Strongcomputer skills,includingexperiencewithMicrosoftOfficeSuiteproducts. * Dataentryexperience. * Abilityto completetasksefficientlyandeffectivelyinabusyofficeenvironment. * The non-negotiable annual salary for this position is $52,939.90 (NAGE Unit 1, Grade 15A, Step 1). _All applicants should attach a cover letter and resume to their online submission for this position._ First consideration will be given to those applicants that apply within the first 14 days. Office Support Specialist I: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
