Robert Half Office Services Associate in Boston, Massachusetts

Description We are offering a short term contract employment opportunity for an Office Services Associate in the Financial Services industry, located in Boston, Massachusetts. This role involves a variety of office tasks such as managing mail and packages, assisting with room setups, and handling administrative duties.

Responsibilities

• Managing the general cleanliness and organization of the office, including replenishing pantries.

• Sorting and delivering mail and packages in a timely manner.

• Assisting with setting up rooms for meetings or events, which may include moving tables and chairs.

• Handling customer inquiries and resolving them efficiently.

• Processing and logging packages accurately.

• Communicating effectively with managers and clients regarding job tasks or deadlines.

• Handling sensitive and confidential documents with discretion.

• Operating various office equipment, experience with Pitney Bowes machine is beneficial.

• Demonstrating a high level of independence as this role requires working alone at the office.

• Providing excellent customer service while dealing with clients and facilities drivers.

• Asking clarifying questions if instructions or tasks are unclear. Requirements • Proven experience in the financial services industry

• Proficient in various office functions, such as handling deliveries and transportation services

• Demonstrated skills in supervising and managing office operations

• Knowledge of hiring processes and ability to participate in recruitment activities

• Experience in receptionist duties, including answering and transferring calls using multi-line phone systems

• Familiarity with switchboard operations and the ability to sort and deliver mail, both onsite and offsite

• Proficiency in handling confidential documents with utmost discretion

• Experience in banking operations would be a distinct advantage

• Excellent customer service skills and the ability to communicate effectively, both verbally and in written form

• Good knowledge of digital tools and platforms used in office administration

• Strong organizational skills, with the ability to manage multiple tasks simultaneously

• Ability to offer perks and benefits to employees as part of office services

• Capacity to manage facilities, including maintenance and upkeep activities.
