State of Massachusetts Mail and Support Clerk in Boston, Massachusetts
The Department of Mental Health (DMH) is seeking an experienced individual to fill the position as Mail and Support Clerk. The Mail and Support Clerk will be responsible for the Central Office mail room function which includes picking-up and sorting incoming mail (inclusive of deliveries from USPS, UPS, FedEx, etc.) for distribution according to destination. Monitors postage meter usage and requests funding as needed. Maintain replacement supplies for fax, photocopiers and printers including participation in the coordination of scheduled lease maintenance. Assist with the establishment of a security control system for expensive inventory items to prevent and minimize inappropriate use, theft, and pilferage and provide administrative and clerical support for Management and Budget (MAB) which includes the following divisions: Accounting and Operations; Budget; Contract Administration, Audit and Systems (CAAS); Facilities Management and Human Resources. _Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Responsible for the daily pick-up and distribution of mail (regular and special delivery). * Responsible for the coordination and processing of Central Office (CO) purchasing requests for administrative and program staff. * Responsible for maintaining inventory of office supplies and replace as needed to ensure adequate quantities are available for Central Office usage. * Maintain replacement inventory for all copiers and printers under contract. * Assist in managing CO operational contracts and place service calls when deemed necessary for copiers, waste removal/shredding services, bottled water, and postage meter. * Coordinate meetings for MAB staff with both internal and external participants. Schedule conference rooms as needed for meetings. Follow-up with participants when necessary to discuss scheduling issues. * Assist the Human Resources Liaison with annual programs i.e., EPRS (tracking & submission to EOHHS HR Administration), Performance Recognition Program (tracking nominations and verification of nominee’s eligibility) and ongoing tracking of Telework Agreements. * Assist MAB staff with other tasks as needed i.e., typing correspondence, copying, filing, mailings, etc. * Other duties asrequired. _Required Qualifications:_ * Ability to develop and generate reports from databases * Ability to communicate and coordinate with multiple groups to accomplish tasks * Effective communication skills (verbal and written) * Effective interpersonal skills * Knowledge of procurement and inventory standards and techniques * Knowledge of shipping and receiving operational procedures _Preferred Qualifications:_ * Given the population served, bilingual or multilingual fluency _DMH Mission Statement:_ The Department of Mental Health assures and provides access to services and supports to meet the mental health needs of individuals of all ages, enabling them to live, work and participate in their communities.
