Under the direction of the Human Resources Director, the Human Resources Generalist, Database & Benefits Administrator is a key contributor to the Human Resources Department. They provide excellent customer service and partner with the team to achieve outstanding results. They respond to benefit and HR policy questions; build and generate staff reports; assist with the development of HR policies; and oversee the management of Fenway Health’s Human Resources Information System (HRIS). The HR Generalist also helps with special projects and initiatives, such as leading the exit and stay interview program and developing and implementing HR policies.

Representive Duties:

Benefits Administration: Administer employee & voluntary benefit programs such as medical, dental, vision, disability, and retirement programs.

  • Benefit Orientation: Provide in-depth benefit presentation for all new employees at New Hire Orientation. Distribute enrollment materials, determine benefit eligibility, and track all enrollment and waiver paperwork.

  • Employee Service: trouble shoot and answer t employee benefits questions, claim issues and plan changes. Respond to benefits inquires on plan provisions, benefits enrollments, and status changes. Enroll employees with carriers and process life and employment status changes that impact benefits. Maintain and update easily accessible benefit information on Fenway’s HR Information Center.

  • Vendor Management: Work with benefit vendors, brokers and partners on claims administration and appeals, COBRA, and retirement administration. Assist with reconciliation of invoices.

  • Data Integrity: Ensure the accuracy of all benefit enrollments and provide vendors with accurate eligibility information. Update HRIS database with new and changing information; ensure accuracy and integrity of information. Responsible for employee benefit file maintenance and storage retention requirements.

  • Reporting: Assist with distribution of annual notifications as required by ERISA and the Department of Labor. Prepare census, deduction, and other reports for internal and external stakeholders.

Human Resources Database Management: Administer all employment changes in HRIS prior to payroll submission to ensure benefit enrollment/changes and personnel changes are processed accurately and promptly, and assist with database management.

  • Maintenance of HRIS: Ensure all data is entered into the system accurately and in in a timely manner. Information includes, but is not limited to, compensation, job status/FTE, and benefits information.

  • Troubleshoot: , analyze, detect, identify and correct technical problems and deficiencies. Liaise with HRIS vendor on system enhancements and troubleshooting, ensuring data integrity, and system optimization.

  • Report Writing: Write, maintain and support a variety of reports and queries utilizing appropriate reporting tools. Compile statistical data and assist with special projects.

  • Process Optimization: Identify opportunities for improving workflow processes through information systems changes

  • Paylocity and interdepartmental Liaison: Coordinate the resolution of vendor problems, and acts as liaison among Human Resources, Finance, database representatives, and benefit account managers.

Compliance, Analysis, and Other Administrative Trasks in Support of the HR Function

  • Workers Compensation: Ensure workers compensation documents are up to date, file workers compensation claims, including processing and submitting all required forms to worker’s compensation provider.

  • Reporting: Ensure compliance with local, state, and federal regulations, including but not limited to OIG, EEOC, ACA and OSHA reporting.

  • Compensation Analysis: Supports compensation activities including completing salary surveys and building a resource library of compensation surveys.

  • Audit Support: Assist in preparing for internal and external audits by reviewing files and pulling requested documents.

Engage in Special Projects and Initiatives

  • Lead the organizations exit and stay interview program to enhance employee engagement.

  • Review and refresh the existing exit interview program. Build a feedback loop for leaders to understand the data trends.

  • Presents trends to appropriate department leadership.

  • Envision and create a stay interview program that aligns with our mission and organizational values enhancing retention and strengthening organizational culture.

  • Assist with the development and implementation of HR policies and procedures.

  • Bachelor’s Degree or equivalent 4 years work experience

  • Excellent time management and organizational skills

  • Strong attention to detail

  • Proven ability to work within multiple online databases simultaneously

  • Ability to handle multiple tasks and prioritize assigned duties

  • Excellent communication and customer service skills and the ability to work independently

Preferred Qualifications:

  • 1-2 years experience working within a Human Resources department, or educational background in Human Resources

  • Experience working with a Human Resources Information System (HRIS); experience with Paylocity a plus

  • Working knowledge of Microsoft Outlook, Excel, Word, and PowerPoint

  • Experience working with an ethnically, culturally and racially diverse staff

  • Ability to master new computer applications
