Opportunity Overview
As a member of the Field & Marketing Operations team, the coordinator will provide support with planning, development and execution of programs including speaker bureau logistics, congress management, events, advisory board logistics, planning and implementation and cross functional matrix management. The individual will be highly collaborative across the North America organization, partnering with Brand teams, customer facing teams and other non-commercial functions. This role reports into the Associate Director, Field & Marketing Operations.
Responsibilities and Duties
Speaker Bureau Support (Dinner Programs, KOL Meetings and Symposia, etc.)
- Process SOWs, MSAs, Invoices, etc. for identified speakers for our speaker bureau programs
Coordinate speaker engagements, including event logistics, travel arrangements, and speaking fees
Align with the manager to assist with the timely distribution of promotional materials and event invitations
Track and report on speaker bureau program metrics, including event attendance and speaker evaluations
Maintain accurate records of speaker commitments, payments, and communications
Assist with other projects and duties as assigned
Congress Support
- Assist with research and establish relationships with vendors and exhibitors, cultivating partnerships throughout the year
Organize the regional conference tracker and research information, procure payment and applications as needed
Maintain overall planning decks for all conferences
Answer general inquiries for national conferences and monitor the dedicated conference email account
Assist with the arrangements for conference shipments and other related vendors
Onsite support and the ability to travel is required for Regional and National Conferences
Field & Marketing Operations Support
- Overall super user for contracting, SOW development, MSA management, PO requests and support cross functionally for other departments
Collaborate and contribute to special projects as needed within our organization
Potential to work cross functionally with other teams as needed
Qualifications and Skills
Bachelor’s degree or equivalent combination of education and relevant work experience
2+ years’ experience coordinating logistics, speaker programs and congress management within the commercial operations department in a pharmaceutical company or primary service provider for a pharmaceutical company, rare disease is a plus
Understanding of PhRMA Guidelines and Sunshine Act
Experience coordinating with vendor partners/consultants and supporting project teams
Ability to meet business objectives, deliverables, and timely completion of initiatives with a cross-functional team
Effective planning, organizational, and prioritization skills
Strong interpersonal skills. Thrives on collaboration with external experts, cross-functional partners, field-based teams.
Proficient Microsoft Office application skills (Outlook, PowerPoint, Word, Excel), with strong computer experience
Ability to work independently and proactively seek out support as needed
This role is based out of our corporate office in Boston, Massachusetts. Rhythm operates in a hybrid-work model. Candidates applying must be willing and able to be in the Boston office in coordination with their department and business needs. This role may involve some travel.
