American Family Insurance - Corporate Facilities Services Coordinator in Boston, Massachusetts

This position is responsible for supporting site daily services including maintenance and janitorial service vendor oversight. You will monitor site for maintenance needs and oversee work completion, either through landlord or outside vendor relationships. Additionally, in this role you will establish and maintain vendor relationships, ensuring quality control, assisting with property management, and coordinating office events.

Position Compensation Range:

$25.96 - $37.50

Pay Rate Type:

Hourly

Compensation may vary based on the job level and your geographic work location. Relocation support is offered for eligible candidates.

Primary Accountabilities

  • You will provide support for mail distribution, manage reception, coordinate and assist with planning and executing company events/meetings, and oversee administrative services projects.

  • You will provide technical expertise and troubleshooting for on-site computer operations, AV equipment, and phone systems.

  • You will coordinate and assists with planning and executing company events/meetings, overseeing administrative services projects, and ordering lunch for events.

  • You will establish and maintain vendor relationships, ensuring quality control and effective contractor services.

  • You will assist with property management tasks, ensuring the site is well-maintained and operational.

Specialized Knowledge & Skills Requirements

  • Demonstrated experience providing customer-driven solutions, support, or service.

  • Demonstrated attention to detail, strong organizational and time management skills, and the ability to multi-task; must be able to follow processes and instructions with a high degree of accuracy.

  • Demonstrated ability to troubleshoot and apply various approaches and techniques to solve problems.

  • Demonstrated verbal and written communication skills, including the ability to communicate effectively across all levels of the company with internal and external customers (vendors, contractors, etc.).

  • Demonstrated proficiency and proven skill in the use of office support tools available at the desktop, including strong knowledge and utilization of Microsoft Office products (Outlook, Excel, Word, etc.).

  • Demonstrated ability to work independently as well as collaboratively on a team in a fast-paced environment.

Travel Requirements

  • Up to 10%.

Physical Requirements

  • Adjusting or moving objects up to 50 pounds in all directions.

  • Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like.

  • Moving self in different positions to accomplish tasks in various environments including tight and confined spaces.

  • Remaining in a stationary position, often standing or sitting for prolonged periods.

Working Conditions

  • You will have proven experience in establishing and maintaining vendor relationships, ensuring quality control, and managing contractor services.

  • You will have experience assisting with property management and coordinating office events, including ordering lunch and other event-related tasks.

  • You will have established strong customer service skills, with a focus on providing excellent support and service to internal and external customers.

In this primarily office-based role, you will be expected to spend at least 80% of your time (4+ days per week) working from one of the following office locations(s): Boston, MA 02210
