Position Overview:The AP & Payroll Specialist, reporting to the Controller will be responsible for the Company’s payroll and accounts payable processing.Job Responsibilities:Responsible for processing the company’s domestic and international payroll, as well as responding to employee questions and resolving any issues.Responsible for coordinating with the company’s domestic and international payroll providers for establishing all new deductions & earnings codes, as well as researching any new payroll or human resource questions/issues related to the providers.Responsible for entering in all accounts payable invoices using NetSuite, as well as coordinating all invoices for payment.Responsible for initiating international wire payments.Responsible for responding to all vendor inquiries and overseeing vendor management.Responsible for reviewing all submitted employee expense reimbursements to ensure proper documentation has been received as well as ensuring company policy is adhered to.Provide guidance to all Bullhorn employees regarding the company’s travel and expense policies and procedures. Provide training and resources to all new employees.Maintain all vendor listings, ensuring proper vendor classifications, W-9 maintenance and employee addressesPrepare year-end 1099 reportsPrepare monthly use tax returnsManage state sales tax registrations and notices from the stateResponsible for updating the daily cash forecastParticipates in special projects as neededQualifications:High-school diploma or equivalent required3-5 years previous experience with payroll processing preferredExperience with ADP or similar system requiredExperience with NetSuite or similar Accounts Payable system preferredMust be able to multi-task and follow through on all delegated assignments or request, assuring successful completion in a timely mannerMust have excellent strong people skills and the ability to work within a team-oriented environmentMust be highly organized, comfortable interacting with employees and vendors in a professional and helpful manner
