Job Summary
Harvard Pilgrim Health Care Institute is currently seeking a highly motivated individual to join our organization as an Administrative Specialist within the Office of Research Integrity & Compliance (RIC). The Administrative Specialist will support the staff and functions of the RIC office including the Harvard Pilgrim Health Care’s Institutional Review Board (IRB), the Conflict of Interest Management Committee (COIMC), and the Research Integrity and Compliance Officer (RICO). They will provide day-to-day assistance to the RICO and RIC office staff and organize and maintain office systems.
Key Responsibilities/Duties – what you will be doing
Assists in the maintenance of the IRBNet database, prepares reports from database information, screens and assigns submissions to the IRB.
Assists in maintenance of IRB files including filing and archiving.
Assists IRB staff with preparations for the IRB Board meeting including preparing agendas, ordering food, and obtaining parking validations.
Attends IRB and COIMC meetings and composes minutes.
Assists in the maintenance of the Cayuse Outside Interests database.
Assists RICO and the RIC Office staff with organizational and administrative tasks and special projects.
Assists the QA/QI Specialists with administrative tasks and special projects related to post approval monitoring reviews.
Assists RICO and QA/QI Specialists with administrative tasks and special projects related to training program.
Responds to inquiries regarding training requirements and documentation.
Other duties and projects as assigned.
Qualifications – what you need to perform the job
Associate’s degree preferred or comparable professional work experience in an academic or health care education environment.
Proficiency with various software packages, including Adobe, Microsoft Word, Excel, Access and Power Point, and other desktop tools.
Excellent attention to detail, highly organized and able to handle multiple tasks simultaneously.
Good interpersonal skills; solid written and oral communications skills.
Resilient, collaborative, flexible, innovative.
