The Teaching and Learning Department at the Boston University Wheelock College of Education and Human Development seeks a dynamic, driven, and detail-oriented administrative coordinator to support the day-to-day operations. The Administrative Coordinator performs a wide variety of administrative and support tasks for the Department Chair, faculty, and graduate students at the Boston University Wheelock College of Education and Human Development.

100%

Essential Functions:

Operations Management (40%):

  • Manage department supplies, promotional materials, and vendor relationships

  • Track spending and maintain budget/grant trackers

  • Organize and update Faculty Resource Guide and Share Drive

  • Manage department listserv and correspondence

  • Draft communications and resolve workflow issues

  • Assist the Department Chair with students’ course evaluations and faculty workload processes

  • Coordinate conference registrations and travel for graduate students and guests.

Meeting & Events Coordination (30%):

  • Support coordinating logistics (securing spaces, managing RSVPs, day of technology needs, etc) for faculty planning events and conferences sponsored by the T & L department and/or BU Wheelock.

  • Process internal service request forms to include catering, facilities, AV services, parking, office supplies, and other logistics.

  • Coordinate disbursements for guest speakers (honorariums) and for one time or independent contractors.

  • Track and manage event budgets, ensuring that expenses are within limits and properly documented.

  • Preparing and distributing agendas and meeting materials

Support Department Chair and faculty with new faculty searches (10%):

  • Support department faculty searches by helping to prepare and distribute job advertisements through appropriate channels, such as academic job boards, professional organizations, and university websites.

  • Set up and manage application tracking systems to receive, process, and organize faculty candidate applications.

Special Projects (20%)

  • In case of a special event (a conference, an accreditation visit, etc.) offer administrative support.

  • Support college-wide functions as needed.

Required Skills

Minimum Qualifications:

  • Associate’s degree or equivalent professional experience (equivalent professional experience is defined as two years full-time experience).

  • At least one year of prior full-time experience in higher education administration or a similar field.

  • Advanced skills with Microsoft applications, which may include Outlook, Word, Excel, PowerPoint, or Access and other web-based applications. May produce complex documents, perform analysis, and maintain databases.

Work Modality:

· Hybrid (3 days in person and 2 days remotely). This position has a dedicated office space at 2 Silber Way, Boston, United States.
