Job Summary

The Business Office Manager oversees the operations of Psychology and Brain Science (PBS) business office and provides leadership in the day-to-day administrative, financial and operational functions of the Department. 

Essential Functions

  • Oversees and supervises the business office administrative staff (two Clerk IV's). Directs, develops, and organizes operational protocols for the business office to ensure efficient functioning in support of departmental goals.

  • Solves problems and provides diplomatic leadership in the day-to-day administrative and operational functions of the department.

  • Oversees and manages the execution of financial operations: procurement, OneCard management, travel, and expense reimbursement, human subjects’ reconciliations, receivables, and payables.   

  • Makes budgetary recommendations/decisions and directs PIs (Principal Investigator) (Faculty, Post Docs, and Grad Students) to ensure spending complies with University, state, and federal rules and regulations.

  • Performs analyses, projections and integrates data into spreadsheets to provide up-to-date and accurate grant information to PI's and monitors the flow of funds. Fulfills reporting and deliverable requirements, grant and contract changes, extensions, and amendments.

  • Works with faculty to identify and resolve budget and compliance issues and reporting requirements.

  • Maintains all department fiscal records, including implementing and managing internal financial and accounting systems, policies, and procedures.  Oversees all Procurement and Controller’s Office activities, including Contracts for Service, Sole Source Justification, journal entries, account reconciliations and requisitions approval.  Ensures that unallowable expenditures are not charged to grants or other funding sources.

  • Departmental Liaison for all Financial and PeopleSoft updates.

  • Ability to work independently and to allocate resources consistent with Department goals.

  • Completes all annual summer ad comp payments and assists with annual Effort reporting.

  • Approves all departmental on-line purchase orders and verifies that information is accurate and in accordance with University policies.

    Other Functions

  • Works collaboratively and effectively to promote teamwork, diversity, equality, and inclusiveness. 

  • Works in partnership with colleagues within the College of Natural Sciences (CNS) community and across the campus to support the Dean’s strategic priorities.

  • Perform other duties as assigned in support of the mission and goals of the College of Natural Sciences.

    Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Associate’s degree and four (4) years’ experience in finance, administration, operations, higher education, or related field OR a bachelor's degree and two (2) years' experience in finance, administration, operations, higher education, or related field.

  • Organized and detail-oriented with an ability to handle multiple tasks at the same time.

  • Strong computer skills, including at least an intermediate level of proficiency with:

  • Email, calendar systems such as Outlook, or Google.

  • Word processing such as Microsoft Word or Google Docs.

  • Microsoft Excel.

  • Ability to maintain confidentiality.

  • Excellent communication skills and the ability to work independently or in a group setting.

  • Outstanding creative ability and positive problem-solving approach.

    Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Experience with Microsoft Teams (including SharePoint and OneDrive).

  • Previous supervisor and hiring experience.

  • Experience in higher education or research.

    Physical Demands

  • Typical office environment.

    Work Schedule

  • 8:30am - 4:30pm, Monday - Friday.

  • Occasional nights and weekends as needed.

    Level 26
