SUMMARY STATEMENT:

The Senior Gift Processing Specialist plays a key role in supporting the Museum's mission by ensuring that all gifts and contributions are processed efficiently and accurately. This role involves processing financial transactions, collaborating with teams across departments, and maintaining a high level of accuracy. You will serve as a trusted resource and advisor on gift-related procedures, providing guidance to the team and ensuring that donor information is handled securely. Success in this role requires attention to detail, an ability to shift between tasks, and a commitment to continuous learning and process improvement.

KEY RESPONSIBILITIES:

  • Transaction Management: Oversee and process contributions, ensuring accurate entry into the fundraising database. Support Finance staff in reconciling records to maintain timely and accurate data.

  • Complex Gift Handling: Manage high-difficulty transactions, credits, and exceptions. Collaborate with team members to ensure accurate and efficient processing.

  • Data Integrity: Monitor and maintain data accuracy in the CRM system, processing corrections as needed and identifying potential issues for further review

  • Collaboration: Work with Finance and Advancement teams to resolve any questions and ensure all entries are properly documented and processed. Coordinate with other staff members during peak periods to ensure high-volume gift processing.

  • Stewardship: Ensure donors receive prompt, accurate acknowledgment of their contributions by generating and reviewing receipt letters.

  • Advisory Role: Act as a resource on gift-related policies and procedures. Support teams across the Museum by providing insights during meetings and helping to update internal documentation.

  • Security and Confidentiality: Handle sensitive financial information with the highest level of security and confidentiality, adhering to PCI compliance standards.

  • Constituent Records: Collaborate with the Advancement team to maintain and update constituent records, ensuring accurate data on donors and members.

  • Under the direction of other Accounting staff, create and maintain Fund records to ensure accurate tracking and reporting of purpose, donor type, and the department responsible for raising funds in Advancement records and the general ledger.

  • Support Community Engagement: Process virtual passes for the Community Access Program, supporting corporate member engagement and promoting access to underserved schools and community organizations.

WORK SCHEDULE:

This position offers a hybrid work schedule with flexibility for remote work, in addition to onsite responsibilities Monday-Friday.

Manager, Fundraising Data Services

MINIMUM QUALIFICATIONS:

  • Education and Experience: Bachelor's degree or relevant equivalent work experience. Prior experience in gift processing, database management, or similar roles is highly valued. Experience with Microsoft Office software and proficiency in Excel is helpful.

  • Transferable Skills: Demonstrated attention to detail, organizational skills, and the ability to work effectively in fast-paced, deadline-oriented environments.

  • Communication Skills: Strong written and verbal communication skills are essential to collaborate with different teams and ensure smooth operations.

  • Confidentiality: Ability to handle confidential information with discretion and care.

  • Data Management: Experience using databases (e.g., Salesforce, or other CRM systems) to manage financial data, with a focus on accuracy and data integrity.

  • Collaborative Spirit: Ability to work both independently and as part of a team, ensuring effective follow-through on tasks.

  • Financial Skills: Familiarity with math and financial reconciliation is preferred.

STARTING SALARY:

Non-Exempt (Hourly). $22.25 - 28.63 /hour
