SUMMARY STATEMENT:

The Senior Gift Processing Specialist is responsible for processing and entering the majority of gifts received by the Museum into the fundraising database, and for supporting the Accounting Department in entering gifts into the general ledger. Supports the Advancement department in post-entry tasks such as acknowledgment and receipting. Serves as a resource and advisor to Advancement and Finance staff on gift-related policies and procedures. Provides guidance and support for Gift Processing Assistant's daily tasks. Attention to detail, ability to manage many projects independently, and ability to shift between tasks quickly are essential for this job.

RESPONSIBILITIES:

  • Manage all aspects of transaction processing including intake of contributions and other Advancement income, entry into the fundraising database, and relaying information to and reconciling with other Finance staff, to ensure timely and accurate recording of revenue to the appropriate donor record, financial account, and solicitor. Handle highest-difficulty gifts, credits, exceptions, and adjustments. Help coordinate the work answer questions, and review the work of the Gift Processing Assistant for accuracy.

  • Oversee gift and data information received in CRM from 3rd party system integration. Monitor and maintain data cleanliness, process or correct gifts manually, correct errors, and flag issues for the Manager.

  • Research and analyze documentation and historical records to process complex gifts to resolve impediments to proper gift entry. Work with both Finance and Advancement staff to resolve questions and issues. Coordinate transaction entry with other staff who may assist at peak times to ensure high gift volume does not delay processing.

  • Communicate the arrival, terms, and conditions of gifts to Finance and Advancement staff upon receipt to ensure accurate subsequent processing and proper stewardship. Tasks include logging, scanning, and archiving gift paperwork as received, evaluating backup to support designation, requesting additional backup and clarification from Gift Officers when necessary

  • Serve as a resource and advisor to Advancement and Finance staff on internal and external gift-related policies and procedures and history to ensure proper and consistent treatment of recurrent matters. Attend inter-team and interdepartmental meetings to provide processing insight, questions, and knowledge. Research internal documentation and online records to provide historical gift information to Advancement and Finance. Create and update internal FDS gift processing and procedure documentation.

  • Generate and review gift receipt letters to ensure proper stewardship and accurate and timely communication with donors on the tax deductibility of donations. Assist Donor Relations in reviewing acknowledgment reports for updates, clarification, or issues.

  • Maintain a high level of security in charging credit cards and handling financial and other sensitive/confidential information to preserve security and data confidentiality standards and PCI compliance.

  • In collaboration with Advancement, participate in the creation and maintenance of constituent records to ensure comprehensive and accurate capture of donors, members, and other constituents in the fundraising database.

  • Under the direction of other Accounting staff, create and maintain Fund records to ensure accurate tracking and reporting of purpose, donor type, and the department responsible for raising funds in Advancement records and the general ledger.

  • Process virtual Community Access Program passes to allow corporate member engagement in providing free visits to underserved schools and community organizations.

  • Other duties as assigned.

WORK SCHEDULE:

This position is hybrid, full-time, Monday-Friday.

REPORTS TO:

Manager, Fundraising Data Services

MINIMUM QUALIFICATIONS:

  • Bachelors of Science or Arts degree.

  • 4 or more years of gift processing, CRM database use, receipting, and related activities experience.

  • Demonstrated attention to detail

  • Proven ability to handle sensitive information confidentially and securely.

  • Ability to work in a fast-paced, deadline-oriented atmosphere with multiple responsibilities.

  • Demonstrated ability to work both independently and collaboratively with strong follow-through and solid organizational skills.

  • Proven written and verbal communication and interpersonal skills

  • Math skills for reconciling transactions and working with money

  • Fundraising database experience

  • Experience with charitable gift processing

  • Proficiency in Excel

  • Experience with Salesforce or other CRM databases

STARTING SALARY:

Non-Exempt (Hourly). $18.00-23.72/hour
